How to Hide Locked Tax Returns Created by Other Users in The Program

This article shares that by enabling Return Owner Locking in the program, tax returns created by other users can be hidden in the tax return list. Users other than the creator will not see or be able to open the locked tax returns. Three access level permissions must be removed from the access level used for the users to prevent them from seeing the tax returns.

Locked Tax Returns

For all Access Levels for which Return Owner Locking is to be applied, remove the following permissions:

  • Open Locked Returns
  • Lock/UnLock OTHER's Return
  • Change Tax Return Owner

Login accounts using this access level will no longer see locked returns created by other users.

Begin by modifying Access Levels.

  1. Click Setup from the menu bar
  2. Select Login Accounts.
  3. Click the Access Levels button on the lower left.
  4. Select the access level being used for the preparers in the Modify drop-down list.
  5. Remove the permissions listed below, from the "Access Included” pane on the right side by clicking on one and then clicking the <-Remove button.
    • Open Locked Returns
    • Lock/UnLock OTHER's Return
    • Change Tax Return Owner
  6. Click OK
  7. Close once all three are removed.



    Login accounts using this access level will no longer see locked returns created by other users.

Tax returns can be locked in one of two ways:

  1. Tax returns can be manually locked or unlocked by checking or unchecking the field next to Owner on the Client Data screen.

  2. The program can be configured to automatically lock all tax returns by checking Limit access to owner and Admin in Setup > Office Setup > Defaults.
